HOW WE WORK

Eight steps. Every request.

The same way of working for a toner swap and an office move: remotely first, a written price, approval before every change and a summary after every job.

  1. 01
BEFORERequestUse the form, email or call. Your own words are enough; a screenshot helps.
  2. 02
BEFOREFirst lookWe connect remotely where we can. Most problems end here, with no travel.
  3. 03
BEFOREQuoteIf we need to come, you get the scope, the time and the price in writing. Plan clients use the hours in their plan.
  4. 04
BEFOREBookingWe book the visit to disturb work as little as possible, including before opening or after closing.
  5. 05
ON SITEFixWe do what we agreed. If the problem turns out to be bigger, we stop and ask before doing more.
  6. 06
ON SITECheckWe check that it works, ideally with the person who had the problem.
  7. 07
AFTERSummaryThe same day you get a short summary in plain language. Changes to accounts and settings go into your documentation.
  8. 08
AFTERInvoiceSingle jobs are invoiced after you accept the summary. Plans and hour blocks are billed in advance.

The approval rule. If the problem turns out to be bigger, we stop and ask before doing more. Extra time only after you approve it.

What we commit to

  • A response within the time written into your plan, and a reply to every new enquiry within four business hours, Mon–Fri 08:00–18:00.
  • A plain-language summary after every job; the office IT check report within two business days.
  • A written price before every job outside a plan.
  • Your accounts, licences and passwords stay in your business.

Rules we keep

  • We change nothing without your approval; if the problem turns out to be bigger, we stop and ask.
  • Admin access only through your password manager or an invitation, revocable at any time.
  • We don’t look through staff files and email beyond what the request needs.
  • Equipment and licences are always in your company’s name, never ours.
  • Every change to accounts and settings is written into your documentation.

WHEN THINGS GO WRONG

What happens if…

The problem comes backWe come back to it at no extra charge for the same fault within 14 days.
New equipment is neededWe tell you what we recommend and what it costs. You buy it in your company’s name, or we order it for you after you approve.
The problem is on the supplier’s sideInternet, a leased printer, accounting software: we contact the supplier for you and follow it through.
We find something elseIt goes in the summary as a recommendation with a risk rating, and we don’t touch it without your approval.
We’re running lateYou hear from us before the agreed time, not after it.

EXAMPLE REQUEST

Meeting room Wi-Fi, from request to invoice

The times match the sample summary next to it.

WhenWhat happens
Tue 09:05You write: the meeting room Wi-Fi drops during video calls.
Tue 10:20We connect to the router remotely: the access point is overloaded and its software is old.
Tue 11:00You get a proposed Thursday visit with a written price, and you approve it.
Thu 10:00The visit: update, channel change, guest network settings.
Thu 11:15A test with your team: a 30-minute video call with no drops.
Thu 13:00The summary arrives: what was wrong, what we did, and a recommendation for a second access point.
After acceptanceYou accept the summary, or two business days pass without objection, and we invoice.

SUMMARIES

After every job, you know what happened.

Every request ends with a short summary the same day, and the office IT check report arrives within two business days. No jargon: what was wrong, what we did and what we recommend.

What it contains

01ProblemWhat wasn’t working and who it affected, in your words.
02CauseWhat we found, explained so it makes sense without an IT person.
03What we didThe steps, and what we changed in settings or accounts.
04TestHow we checked that it works, ideally with you.
05RecommendationsWhat’s worth improving, ranked by risk, with a rough cost.
06Time and costHow long the work took, and whether it was in the plan or outside it.

The documentation is yours

The device list, network map, account list and notes go into a folder in your business, and passwords into your password manager. If you ever change IT provider, everything stays with you.

Formats

Email after every jobA short summary in Polish or English.
Monthly reportOn a care plan: what we did that month, what’s open and what’s next.
DocumentationDevices and accounts in a spreadsheet you can open without us.

Acceptance

A summary is accepted when you confirm it, or when two business days pass without objection. Only then do we invoice a single job.
